《Reservations, Cancellation, Price》

Do I need to pay any additional fees besides the accommodation fee?

All room rates displayed include taxes and service charges. If you do not order breakfast or make any special requests, no additional charges will be incurred.

How far in advance can I make reservations?

All of our townhouses and rooms can be booked starting from six months in advance. If you plan to stay for three nights or longer, we might be able to accept your booking earlier. In this case, please contact us directly by e-mail or by phone.

Will I be charged a fee in case I cancel my reservation?

In case you decide to cancel your reservation, we will refund you based on our cancellation policy, which is as follows:

No cancellation fee and full refund for reservations cancelled more than 1 day prior to check-in date,
50% cancellation charge if cancelled 1 day before,
100% cancellation charge if cancelled on check-in date or in case of no show.

However, please keep in mind that we can only refund the money back to you in Japanese Yen and since we cannot control any changes due to currency exchange rates, these differences will not be refunded. Besides, in some cases you may have to wait up to 2 months for the refund to show up on your credit card again. Please accept our deepest apologies in this matter.

《About check-in/ check-out/ fees》

When can I check-in?

【Aoi Kyoto Stay townhouses】Check-in can only be arranged between 14:00-18:00.

In order to ensure a smooth and safe check-in, we ask our guests to come to the reception desk of our Aoi Hotel Kyoto first. Once we made copies of your passports, staff will escort you to your booked townhouse. Most of them are only a short walk away from our hotel. Please let us know your scheduled arrival time by e-mail or phone call until the day before check-in. Likewise, if you would like to make any changes to your scheduled arrival time, please kindly notify us by email or phone call as soon as possible.

【Aoi Hotel Kyoto】Check-in is available from 14:00-22:00.

Please directly come to our hotel reception desk for check-in.

When do I need to check-out?

Please check-out before 11:00am. If you would like to have a late check-out, please inform our staff in advance. We will try our best to offer you late check-out options as far as possible.
However, please understand that sometimes late check-out options cannot be arranged. We sincerely apologize for this inconvenience, but hope for kind understanding in this matter.

It is always possible to leave your luggage at our reception desk and to pick it up at a later time.

Can I stay at your facility for more than two consecutive nights?

Staying consecutively is highly welcomed. We will arrange the cleaning and house keeping upon your requests, needs and schedule. Besides, we also offer a special discount rate for long-term stays, so please feel free to consult us if you need any further information.

《Meal provided and other service》

Can I cook in the room or townhouse?

We provide a kitchenette in all of our rooms and townhouses with a fridge, microwave, coffee maker and water boiler, whereby you can reheat prepared foods. We can also prepare the inductive cooker and pot for you upon your request. However, regular cooking is prohibited because of fire prevention.

If you need restaurant recommendations, please feel free to consult us.

Does the accommodation fee include any dining expenses?

Please kindly note that dining expenses are not included in our accommodation fees. Upon request, we can provide you with various dining services - such as breakfast delivery and dinner catering directly to your house/room - for an additional fee. Reservation in advance (up to three days prior to use) is necessary, so please feel free to contact us if you are interested and we will gladly provide you with the menu and prices of our delivery services.
 

Can I send my luggage or a parcel to the townhouse or hotel in advance?

It is no problem to send your luggage or a parcel to us ahead of your arrival. We will keep it, safely store it at our office and move it to your room or townhouse on your check-in day. Since staff is only at townhouses during check-in and the house is otherwise unattended, please send your luggage or parcel to the below address which is our main office/ hotel reception desk.

《About your stay in Aoi》

Do you accept groups of more persons than the maximum occupation number?

In general, we do not accept reservations for such groups in order to ensure the quality of our services.

Can I invite my friend to our house for a visit?

Due to safety concerns, please do not bring non-resident guests to your room or townhouse without informing us in advance.

Can I have a party or any other group activity at your facilities?

In order to not disturb any local neighbors of your accommodation or any other guests in the hotel, we ask you to kindly refrain from holding any parties or such activities and to keep from making any loud noises especially during nighttime. 

 

What should I do in case I want to make changes to my booking?

If your travel plans change, please let us know as soon as possible. In case the number of persons increases, you will be required to pay an additional fee. In case the number of persons decreases, the corresponding fees will be refunded.

How about the bed-making?

In general, futon beds are prepared in advance so that you can rest any time after arrival. We will not store away the futon bed during day time, either. However, if you want to prepare the futon bed by yourself or want to store it away during daytime, please leave a request at the time of booking.

Can minors book and use your facilities?

A group consisting of minors only cannot book or use our facilities. Minors shall always be accompanied by at least one guardian.

Why can I not find the detailed location of my accommodation on any websites?

For security reasons, the exact locations of our facilities are not given on websites. Upon completing a reservation, we will send you a map showing the exact location of your accommodation by e-mail. In case you have not received any such mail, please contact us any time. 

Can I bring my pets?

We sincerely apologize, but pets are not allowed in any of our accommodations.

Whom shall I contact in case of any emergencies?

Emergency contacts, as well as simple instructions about emergency procedures, will be given to all guests upon check-in.

《About Facilities and Equipment》

Can I smoke inside your facilities?

The usage of any kind of fire, as well as smoking on our premises is strictly prohibited.

If, however, we should find evidence such as smoked cigarettes, burnt candles/lighters/matches, as well as damage in and/or on the premises caused by hot ashes and/or fire, you will have to leave the premises immediately and without right for any refunds or further claims towards Aoi KYOTO STAY.

Furthermore, we will reserve the right to charge you a monetary fine as 50% of room rate and will not accept any possible reservations from you in the future.

Do you have free parking space available?

Unfortunately, most of our accommodations do not offer any free parking spaces. In case you are traveling by car, you are required to use any coin parking lots close to your accommodation. All resulting parking fees will have to be payed by the guest and Aoi does not bear for any parking fees. The only exceptions are the "Aoi Shinmachi" house, and the two villas on the Philosopher's Pathway ("Aoi Kangetsu-tei" and "Aoi Kan-un-an"). These offer parking space for one vehicle only. Special parking permits are required, so please make sure to contact us in advance in case you would like to park your car at these accommodations. You can also contact us anytime if you want to have any further information on nearby coin parking lots.

Can I park bicycles or a motorcycle at your facilities?

Since we unfortunately cannot provide any parking space for neither bicycles nor motorcycles, please kindly do not visit the facility by bicycle or motorcycle.
Moreover, if you plan to rent a bicycle for sightseeing or transportation in Kyoto, please kindly park your bicycle only at designated bicycle parking spaces, otherwise your bicycle may be impounded and taken away by Kyoto City government.

Do you provide free internet or Wi-fi services at your facilities?

Please rest assured that all of our accommodations and rooms offer a free, high-speed Wi-Fi connection for any of your devices.

Is there a refrigerator available at the accommodation?

Please rest assured that all accommodations and rooms are equiped with a refrigerator.

Do you provide any heating equipment/devices in your facilities?

All facilities and rooms are equipped with air conditioning, which you can adjust to either cool or heat rooms. Moreover, additional floor heating is installed at townhouses and our hotel rooms, so please do not worry. In case you still feel cold, please contact our staff anytime. We will gladly prepare any additional heating equipment for you.
